Program Operations & Administrative Associate (Seasonal)

Position Overview
The Program Operations & Administrative Associate is a seasonal role. This role plays a crucial role in building a strong foundation for Enterprise for Youth’s summer internship program, which serves over 350 young people. Once the internship program begins, this role also takes on intern-facing and program facilitation responsibilities.
Between April and May, this role has an explicit focus on supporting intern and internship partner onboarding. This person will 1) become an expert in our HR system (GoCo), 2) collect and organize work permits and hiring paperwork from young people, and 3) serve as a point person for any interns with questions about the onboarding process. This team member will be critical in ensuring all required documentation is submitted and in compliance with HR policies.
During the duration of the internship program (June and July), this role delivers direct youth programming by serving as a Job Coach. In this capacity, the role is responsible for overseeing, supporting, and working alongside one group of high-school aged interns (up to 25) as they work in a six-week environmental stewardship program in San Francisco city parks, in collaboration with the San Francisco Recreation and Parks Department. Working under the direction of SF Rec & Park gardeners, the Job Coach leads interns as they engage in hands-on conservation projects.
In addition to gaining practical environmental stewardship skills, interns develop professionalism, teamwork, and leadership abilities, preparing them for future career opportunities. Job Coaches play a key role in fostering a positive, educational, and productive work environment for all participants.
Job Coaches also share responsibilities in program-wide summer initiatives, including involvement in planning and leading weekly progressional development workshops for interns, staffing special events, and attendance at team and organization-wide meetings.
Approximate Hours & Wage:
The Program Operations and Administrative Associate (seasonal) role begins May 4, 2026 and concludes on August 7, 2026.
For the month of May, expected hours for this role will be between 15- 20 hours per week.
While there is some flexibility, this person must be available in-person on Tuesdays and Wednesdays between 2pm- 6pm, and one additional day per week between 11am- 3pm.
In June and July, this role will be approximately 25- 30 hours per week, and this person will be required to work 5 days per week in-person.
The pay rate for the Program Operations and Administrative Associate (seasonal) is $ 25-28/hour depending on experience.
Duties and responsibilities (including but not limited to):
Intern onboarding (May):
Lead weekly intern onboarding support sessions at Enterprise’s downtown office and at school hubs to provide 1:1 support to incoming interns completing required hiring forms.
Responsible for distribution, collection, and filing of work permits for applicable minors.
Lead communication and follow ups with youth via email, phone, and individual meetings to ensure completion of forms.
Collaborate with Internship program staff to provide updates on intern paperwork completion status and identify areas for additional follow-up.
Attend intern orientation days (week of June 8) including onboarding work sessions.
Track forms sent to families including family liability, emergency contact, and media waivers.
Potential to support with internship partner onboarding process beginning at the end of May
Job coach responsibilities (June and July):
Attend seasonal staff orientation
Facilitate sessions during internship orientation
Oversee one group of high-school aged interns (up to 25) as they work in a six-week environmental stewardship program in San Francisco city parks
Supervise, work alongside and support youth with projects. Tasks may include but are not limited to: plant and brush removal, pruning, litter removal, trail reconstruction, planting local and native species, and building erosion control structures.
Develop and maintain relationships with the Recreation and Parks staff.
Maintain awareness of youth development. Ensure that projects are appropriate and varied. Provide ongoing coaching to all youth.
Ensure the safety of youth. Be available to handle emergency situations.
Role model positivity, curiosity, professionalism, safety, and healthy communication.
Coordinate with youth regarding attendance and special events during the program, such as educational workshops, visiting other parks and a culminating project. Attend and staff the end-of-summer intern celebration.
Maintain weekly communication and additional follow-ups with the EFY Parks Program Manager.
In collaboration with the Recreation and Parks gardeners, provide instruction in appropriate tool use, safety and gardening techniques.
Facilitate team building and leadership development activities throughout the 7-week program.
General Program Operations:
Responsible for printing and distribution of all youth workshop materials.
Coordinate the distribution of Clipper cards to participants requiring transportation support.
Attend weekly organization-wide staff meetings.
Facilitate weekly professional development workshops.
Attend all organization-wide program events.
Location
Candidates must be located in San Francisco and available to work in-person.
Qualified candidates will:

Possess strong interpersonal and communication skills.
Utilize culturally competent communication and relationship building to support interns.
Thrive in quickly changing environments and be flexible with tasks needing support.
Be detail-oriented, thorough, and proactive in identifying errors or discrepancies in paperwork.
Be willing to travel throughout the city of San Francisco.
